In spring 2020, the school district — located in Beverly, Massachusetts — acted fast to respond to the COVID-19 pandemic.“We had to flip a switch, and it was all remote learning,” recalls Steve Palomo, IT director at BPS.Though the situation was challenging, BPS achieved a smooth transition — thanks to amazing collaboration, custom apps for schools, and seamless student information system (SIS) integration.The journey started with Apple School Manager and a laptop for every student.Judy Miller, director of digital learning at BPS, remembers the team’s early vision for digital transformation: “We wanted one platform. We wanted Apple School Manager. And we also wanted a program so that students could lease the laptop for four years and take it with them.”However, for the program to succeed, BPS would need to move away from managing everything on paper. According to Steve, “When we launched the one-to-one laptop-to-student program, I noticed we were spending a ton of time on paper and doing things by hand, and I thought there had to be a better way.”The better way started with Claris FileMaker, a product that helps K-12 districts build custom apps for schools. Nowadays, the company uses custom business applications, created with Claris FileMaker, that digitally automate manual processes, eliminating cumbersome paper and streamlining business operations.Goodbye antiquated paperwork.Bryan Exhaust manages operations for hood cleaning companies that do the gritty work of scraping and scrubbing food facility exhaust systems to comply with fire safety regulations and prevent grease fires. The family company had been using old-fashioned paperwork for decades, ever since Ed Bryan founded the business in Burbank, California, in 1978. Ed has now passed business operations to his son, Matt Bryan, daughter-in-law, Lisa Bryan, and nephew, Brendan Bryan.A few years ago, Bryan Exhaust’s management team decided to build custom apps that streamline work from several systems. The company uses two apps: a mobile app for technicians in the field to receive assigned jobs, report issues, post pictures, and get approvals, and a second desk-based app keeps track of invoices and job assignments.“Previously, the Scheduling department would have to print out all these work orders, so our printers would be running all day,” explains account manager, Marilyn Wellner.Mobile app connects field workers to the office.“Claris FileMaker solved the problem of having multiple systems and having to repeat work many times over,” says Lisa, who manages the computer systems. “We wanted to move away from duplication of administrative stuff and into customer service. FileMaker has really streamlined our operations. It’s fantastic!”Prior to using FileMaker, there was no centralized database, and workers tracked things their own way, generating errors and wasting time. The main goal for the initial custom app was to get everything into one system to coordinate field work and create smooth communication between the office and technicians, who carry mobile devices from job to job.The management team is especially fond of their mobile app.“The mobile app allows technicians in the field to receive their work orders without having to physically come in, fax, or email the office,” Lisa explains. The workers can then get their paperwork approved on the spot and immediately email a copy to the customer.“Our (mobile) app transformed all of our technicians’ business as well,” exclaims Brendan. “The job comes up, the contact’s there with directions, the details about the job, everything. The information is all in one place.”Digital processes help keep restaurants running smoothly.Bryan Exhaust also uses its mobile app to put customers on a maintenance schedule to help alleviate emergencies, such as a grease fire or a fan belt breaking during a restaurant’s lunch rush. However, when a part breaks unexpectedly, the technician can use the mobile app to check inventory, pick up the part at the Bryan Exhaust office, and head to the restaurant for installation, saving time tracking down parts and improving repair efficiency.Enjoying a return on its software investment.Brendan likes to provide the level of detail that helps customers simplify the maintenance workflow and remain focused on their business, not Bryan Exhaust’s paperwork. “We see it from a service company’s viewpoint. The software compiles all the details about each specific client in one space and makes the information usable,” he adds.The compilation of customer data has also increased Bryan Exhaust’s revenue. When the company kept records on paper, employees didn’t formalize billing, and some of their longer-term customers received the same rate for years. Ensuring customers get exactly what they want is one of the auto group’s greatest value propositions, but this attention to every custom detail makes for a complicated and lengthy sales process.Previously, customers chose not to wait for final offers in the showroom because it took Exclusive Cars a while to verify line items and manually calculate total costs of customized details. The dealership knew it needed to drastically cut down this turnaround time, so it called in 72solutions, a Claris Platinum Partner, to help. Operation fast contracts begins.When Exclusive Cars first approached 72solutions with a complex problem and a near-impossible deadline, FileMaker developers and Claris Platinum Partners Stefan Pusch and Philipp Puls were ready for the challenge. “We have 30 years of experience in Claris FileMaker development, and we know what we’re doing,” said Philipp.What made the contract process so complicated wasn’t just the configurations, it was the taxes. While Exclusive Cars is in Austria, the dealership also oversees the entire Eastern Europe region, selling cars in six countries with six different currencies with 12 different taxation structures depending on car configuration. Exclusive Cars dealerships Before they had their custom app, the Exclusive Cars team manually calculated total prices and taxes for every contract, then sent the calculations to respective market offices to double-check the math and currency conversions. Mistakes in the contract could result in penalization by financial authorities, but “also, at the end of the day, for my company, mistakes harm our reputation,” said Sanjin Arkus, CEO of Exclusive Cars.The verification process, while crucial, dragged contract turnaround times even longer — not a great customer experience. “It looked like we were in the Middle Ages,” Sanjin explained. “The customer wants an offer as soon as they visit a dealership, and they want a clear, immediate message: ‘This is what you get and this is how much it costs.’”Sanjin handed the FileMaker developers their first challenge: He needed a working prototype within eight weeks, so he could show it at a meeting with other dealership CEOs across the region. Off to the races with the first lap dedicated to discovery.The developers knew they first had to understand the nuances of the current sales offer process before designing the new system. So, after an initial briefing on Exclusive Cars' needs, 72solutions dove straight into discovery.First, Stefan and Philipp analyzed the static PDF proposals Exclusive Cars sent to its dealerships for verification, as well as all input and output files used in the sales process. The two developers had to understand exactly what data these documents contained, the format, and adaptation for each market. Stefan and Philipp then shadowed the car sales team to see how these PDFs were generated and used in the offer creation process. "I'm always optimistic in my ability to solve all the problems I'm facing because I'm very good at using Claris FileMaker Pro." —Stefan Pusch, 72solutions “Our reaction to the first working prototype was a relief because you know that the project is going to work and all the difficult hurdles have been taken on,” Stefan stated. “I'm always optimistic in my ability to solve all the problems I'm facing because I'm very good at using Claris FileMaker Pro.” FileMaker drives very, very fast when facing sharp turns and pivots.Several times throughout the build, the developers used FileMaker to pivot quickly.First, 72solutions changed their initial plan of having the Exclusive Cars app integrated in one file. They realized, in addition to having an email fetch application as a module of their standard tool kit, they needed a user management module. After attaching these separate modules, the custom app grew into a multi-file solution. Each country within Exclusive Cars’ coverage needed its own separate file, too.“That’s where FileMaker’s database migration tool was a great help,” Philipp said.“We wouldn't have been able to build the solution without this tool because now we have one development file, then we only need to do a rollout to the different country files, and they're all on the same development level in an instant.”Another major pivot came halfway through the project. The initial plan was to build a native app using FileMaker Go so each salesperson could work on their iPad, but IT requirements called for web deployment. No problem for these two developers! Everybody wanted it immediately,” Sanjin exclaimed.Today, every Exclusive Cars location — a dozen in all — uses the custom app built with FileMaker. The sales team can instead focus on doing what it does best: selling luxury cars.“I'm proud of solving yet another problem — making it beautiful and making it useful,” Philipp mentioned. Project Scorecard 3 months 450 hours 2.5 developers Continuous innovation lives on the roadmap.As the dealership grows and the auto industry continues to evolve, so does Exclusive Cars’ custom app.The dealership recently expanded to Switzerland, adding a new currency and tax structure to the system. Previously, onboarding a new market would have taken at least several weeks, but with the FileMaker solution, the Switzerland expansion was up and running right away.“We have the advantage of having everything in one system, which is already approved,” Sanjin explained. “So you just add an additional country, additional dealership, or additional personnel, then you can start working immediately.”Exclusive Cars can quickly include new cars to the system, too — a common use case with more hybrids and EV models coming on the market. The Yucatan Peninsula, which separates the Gulf of Mexico from the Caribbean Sea, offers inviting sandy beaches and crystal blue waters popularized by resort communities within Belize and Mexico. However, the surrounding waters deliver much more than a beautiful backdrop. It’s also home to one of the largest and most complex aquifer systems in the world, containing delicate archeological and paleontological materials.Founded by Guillermo De Anda, underwater archeologist, researchers for the Great Maya Aquifer (GAM) project have been exploring this underwater world for decades, with mind-blowing historical and cultural discoveries along the way.The GAM team works with renowned experts from around the globe. National Geographic Society, the National Institute of Anthropology and History, the National Autonomous University of Mexico, California State University, and other institutions help share the wonders of caves and cenotes with the rest of the world.Extensive research leads to marvelous discoveries.As part of GAM’s mission to explore, understand, and protect this important underground water system, the team conducts extensive research ranging from cave archeology to working with biology experts to evaluate stromatolites, bacteria found only in select places on earth, such as the Bacalar Lagoon in Quintana Roo, Mexico.Inside the caves, divers and scientists have made great discoveries, including archeological and paleontological rarities like Mayan ceramics and wall engravings. Plus, when exploring a cenote in the Yucatan, De Anda unearthed bear bones from the Ice Age (approximately 15 thousand years ago) — the first known record that bears inhabited the area.One of the team’s most exciting finds occurred in 2019. When searching for a sacred well beneath the Mayan city of Chichen Itza, members of GAM discovered an underground cave containing a trove of archeological elements — deposited by the ancient Mayans as an offering for the gods of the underworld — and untouched for more than a thousand years.Innovative exploration yet manual data collection.With expert archeologists, biologists, underwater photographers, and specialized cave divers contributing to GAM’s research and exploration, studying sites sacred to the Mayan history and culture requires significant teamwork to safely pursue exploration.“Our teams conduct deep water dives and rappel into caves, navigating spaces where humans rarely traverse,” says Guillermo. “With such tremendous human effort involved, we want to accurately and easily document every significant finding.”Traditionally, GAM relied on manual methods for data collection, recording information in the field via tedious reporting methods, logged by hand and stored in hundreds of spreadsheets. A nonprofit organization with a mission to “explore the ocean and bring it back to the world,” OceanX conducts research onboard its impressive vessel, OceanXplorer, and also creates audiovisual and photographic content to educate the world about the oceans and inspire change.How does this massive operation, with many moving parts, keep everyone — from ship to shore — current and connected, even while at sea in remote locations? Vincent Pieribone, vice chairman with OceanX, is animated about the group’s desire to drive positive change, while navigating the immense power of the ocean waters.“The ocean can be an unforgiving environment to work in, as we’re navigating pressure, salt, weather, kinetic energy, animals, and many other factors,” he describes. “We sail with major equipment, such as cameras and sonar systems, that don’t typically transmit Bluetooth or Wi-Fi, creating a very silent world. When you’re in the open ocean, it’s clear that nature is in charge.”Sink or swim with off-the-shelf solutions.OceanX is a unique organization, with intense operations taking place both on a vessel and on shore — finding its software requirements to be just as unique. FileMaker to the rescue.The organization’s scientific research, media production, and exploration vessel, OceanXplorer, is often located far out in the open sea and far from reliable satellite communication. When connecting to the organization’s central server isn’t an option, OceanX utilizes the full FileMaker application to run on premise, then automatically synchronizes once back within a reliable connection — a true superpower that’s not possible when solely using a SaaS solution.This coordination ensures all personnel are working off the latest information, which can change rapidly based on the realities of the organization’s research expeditions, such as unpredictable environmental conditions. “The challenge was how to synchronize an entire ship with the shore to keep everyone on the same page and working with the same set of data,” explains Vincent.At sync on shore and at sea.Kyo Logic built a synchronizing application to enable teams in both locations to communicate and connect in near real time, regardless of where the ship is located, utilizing the Claris FileMaker REST API. Today, the application syncs approximately every 10 minutes, all day long — built entirely within FileMaker, without any other external tools.“FileMaker is an exceptionally good low-code tool and is one of the best-kept secrets in the universe,” John adds. “The people who know it, absolutely love it. And part of what we like about our job is being able to share information about the platform so more people can use low code and appreciate its benefits.”A central hub for daily activity.OceanX often has several hundred people coming on and off its ship, from divers and scientists to journalists from National Geographic and BBC. To view this video please enable JavaScript, and consider upgrading to a web browser that supports HTML5 video Q Foundation Founder, Brian Basinger, describes the exact moment he foresaw the impact of the COVID-19 pandemic on housing insecurity. “It was February 21, 2020 — and I realized the virus was going to shut down the city,” he recalls. “I knew thousands of people would lose their jobs, and in many cases, their housing.”Looking for a solution to quickly scale housing aid, the Q Foundation sought to build a custom app with Claris FileMaker with help from Beezwax, a California-based Claris Partner.Q Foundation bridges the gap to keep clients in their homes.Brian dedicates his life to keeping people housed in the astronomically expensive San Francisco housing market. Decades ago, he established the Q Foundation to help people with HIV and AIDS maintain their rent-controlled housing. Now, the foundation is one of San Francisco’s largest nonprofit rent subsidy providers serving seniors, disabled adults, and families struggling with insecure living conditions. As of September 2020, the Q Foundation is also the primary provider of Bay Area emergency housing relief for people who’ve lost their jobs due to COVID-19.“We’ve seen drastic price inflations in rental housing,” says Brian. “As more people get left behind, there are terrible consequences for our society. When we can’t keep people housed, it impacts all of us.”According to Brian, people often risk losing their long-held apartments over small sums of money, typically $100-$200 per month. Known as the “landlord whisperer,” Brian has an uncanny ability to bridge the gap and negotiate with landlords to keep tenants in their homes.With so much experience, Brian recognized the implications of the COVID-19 pandemic early on. He rushed to find a more efficient approach to help those impacted by widespread (and rapid) joblessness.The foundation pivots during the pandemic.By early spring, many California residents lost jobs due to mandated business closures — such as Elvis, a Q Foundation client living in the San Francisco Castro District. A hair stylist for years, Elvis was shocked to learn his salon would indefinitely close, leaving him with no way to earn a living despite his desire to work.“I was literally at rock bottom after just a couple of weeks,” says Elvis. “All I have left is my home, and I was faced with losing it because I wasn’t permitted to work.”Brian anticipated this exact scenario and moved quickly to help San Francisco residents teetering on homelessness.“How do you stand in line to get housing assistance when the agency is closed? Thankfully, Harry and Echo VanderWal had a vision. In 2005, the couple set out to bring mobile healthcare services to the country’s most isolated and underserved communities, integrating care and treatment for HIV/AIDS into a comprehensive healthcare platform. Today, Eswatini is one of the first nations in the world to achieve epidemic control of HIV/AIDS, and The Luke Commission team works 24/7 to sustain these gains, even as it takes on new challenges, such as COVID-19 care and treatment. Leading with love.With 70 percent of Eswatini’s residents located in rural communities, many people can’t afford or find transport to urban healthcare facilities. When Harry VanderWal, a medical doctor, and his wife, Echo, a physician assistant, arrived in the country, they saw an opportunity to make a difference—bringing comprehensive healthcare to those in Eswatini’s outermost regions. Thus, The Luke Commission was founded, a non-profit organization established in 2005.“My husband and I arrived in Eswatini at the height at the HIV pandemic,” shares Echo VanderWal, founder of The Luke Commission. “We were taken from the airport into a rural community and saw lives all around us being lost. From there, we never left. Our goal was to end the isolation of underserved communities and provide quality healthcare by delivering services with compassion and love for all.”Reaching every single patient.The Luke Commission started by providing free healthcare for children and adults, traveling to school grounds and other locations to prioritize HIV prevention and deliver preventative care, such as eye exams and medical checkups. The organization quickly gained steam, growing from a team of eight to more than 600 staff across 38 departments.Since the organization’s inception, the focus has been on caring for every single patient—no matter the cost, time, or energy. With uncertainty about delivery and cylinder quantity to meet oxygen supply demands, The Luke Commission was up against a wall, facing the instability of one its hospital’s most critical patient resources.The organization resolved the critical challenge by building its own oxygen production plant. When the third wave of the pandemic hit, The Luke Commission was prepared with its own oxygen supply, eliminating reliance on other African countries to deliver oxygen cylinders.“The second wave of COVID-19 was one of the most devastating things I’ve witnessed in my life. But our team turned heartbreak into action. As a result of having direct access to critical oxygen resources, we were able to care for three times as many patients in phase three as we were during phase two. Our healthcare team managed more critically ill patients at one time and delivered an improved rapid response,” Echo shares. But long wait times and slow registration processes at current clinics were standing in the way. A long-time Claris FileMaker user, the Chief set out to create a custom app to expedite vaccine distribution and mobilize teams that would increase reach.Claris FileMaker, of course.As the son of a firefighter and nurse, taking care of people through public service runs deep in Chief Bailey’s family. So, when asked to assist with local vaccination efforts, he jumped at the chance.With demand for the vaccine running high this spring, Chief Bailey recognized an opportunity to augment current public health efforts by introducing much-needed efficiency to the vaccination process — aiming to reduce wait times from hours to minutes. No stranger to FileMaker, he knew just where to turn.“Everything within our fire department, from electronic care records and inventory to maintenance and employee tracking, is done through FileMaker,” says Bailey. “We knew we could create an application through the platform to support our vaccination efforts, so we reached out to iSolutions, our technology partner, to help make it happen.”From vision to reality in just eight days.Time was of the essence as Travis County Fire Rescue planned to soon launch drive-through vaccination events, followed by larger scale on-site clinics. The vision was to easily capture personal registration information via a custom app on an iPad, while meeting reporting requirements from the US Department of Health & Human Services.“FileMaker allows me to quickly develop a solution, make modifications based on client feedback, and go from concept to deployment very rapidly,” states Kristen Hudgens, FileMaker developer with iSolutions. “Eight days after Chief Bailey called me with his idea, the Vax Tracker app was ready to go.”Immediate efficiency and on-the-go agility.As the county’s vaccination efforts ramped up, so did the functionality of the Vax Tracker app. The flexibility of FileMaker allowed Kristen to go home after a vaccine clinic, make changes based on user feedback, and show up the next morning with a new feature to further reduce registration times.“At first, we were capturing personal information verbally, a challenge with everyone wearing masks. We then easily modified the app and added the ability to scan a driver’s license, shaving valuable minutes off registration,” shares Kristen.Simple to use, monumental impact.Another benefit of the Vax Tracker app is its ease of use and intuitive interface, a must-have as volunteers run the clinics and some only sign up for one daily shift. At the start of each clinic, each volunteer receives an iPad, followed by a quick tutorial, and they’re off and running with registrations.“We’ve reduced the registration process to a matter of minutes — monumental improvements because as word gets out about certain clinic locations being faster, more people register for that site,” says Chief Bailey.Mobilizing to close the gap. Travis County Fire Rescue soon realized there were barriers for certain subsets within the county to get vaccinated. In addition to running multiple large clinics daily, the organization sent smaller strike teams into vulnerable communities, providing mobile vaccines at churches and parks, reaching upwards of 200 additional residents per day.“We have an obligation as an organization to be efficient, timely, and use our resources wisely.
