The app also handles most day-to-day operations, helps to evaluate hospital participation in donations, helps coordinate plans for marketing and public relations, tracks direct mail campaigns and manages HR, employee records and time off requests.The Alabama Eye Bank (AEB) celebrates almost 50 years of helping people see. As the only eye bank in Alabama, the facility is open 24 hours a day, 365 days a year, to respond when a healthcare facility, such as a hospital, calls to say a donor or their family has decided to provide the gift of sight. Immediately the eye bank dispatches a technician to procure the cornea. Following retrieval, the eye bank carefully evaluates the tissue and distributes it to a corneal surgeon who will transplant it as soon as possible.Headquartered in Birmingham, the AEB has three other satellite facilities in Huntsville, Montgomery and Mobile. The AEB employs about 55 employees in the four offices combined, in addition to several remote employees. The non-profit also organizes corneas for transplantation overseas to those who are suffering from blindness. And they are able to do all of this and more with custom apps built on the FileMaker Platform. A long history of customizationTom Cattell, vice president of Information Services, has worked at the eye bank for 11 years and describes his job as dealing with programming, security and “everything with a button.“ His position has evolved over time so that he now does approximately 80 percent of the programming for FileMaker, which was already in use when he joined the AEB.Cattell was already familiar with the FileMaker workplace innovation platform. “I started working with FileMaker around 1998 while I was at a company that had a really archaic system. It had about 200,000 items that had to be searched alphabetically, which was impossible unless you knew the exact name of each item.“ Cattell created a custom app to make this information searchable, and he has used FileMaker ever since.When he joined the AEB, it was in the process of migrating from FileMaker 6 to 9. He helped complete that process and made upgrades to the custom app as well. The app now runs on FileMaker 17, with plans to move the servers as soon as possible. "That's one of the reasons we can get by with one desktop guy for 55 employees, and he only works four days a week because FileMaker works so well." Tom Cattell, Vice President of Information Services, Alabama Eye Bank A versatile partnerToday, “we use FileMaker for just about everything,“ Cattell says.Because the eye bank must keep careful records, the custom app enables it to do that by managing referrals, potential donor screenings, tissues, distribution and online surgery scheduling. The app also handles most day-to-day operations, helps to evaluate hospital participation in donations, helps coordinate plans for marketing and public relations, tracks direct mail campaigns and manages HR, employee records and time off requests.In the past year, Cattell has expanded the custom app and has developed a modular system. The employee information has been moved to a separate location and from that module, all of the information modules are accessible. He says this is easier to work with but also makes it easier to take down a section of the app if needed without taking down the whole program. Going mobile“There’s not an employee at the eye bank who doesn’t need to interact with FileMaker,” Cattell says. He has used FileMaker Go to make much of the app mobile over the past year, so the eye bank’s employee base of in-house and remote workers spread across four locations can access what they need from anywhere.The mobile app integrates directly with all of the AEB’s systems. “This is why I love FileMaker. I don’t have time to learn a hundred other things or the money to employ people who do. I’d have to hire eight or more employees to do web and mobile development if we didn’t have FileMaker. So now we have just a couple people in IT and do exactly what we need to do.”Saving money and timeThe AEB uses Mac clients and Windows servers. “It’s the perfect fit: Mac, FileMaker and Windows servers that can run everything. That’s one of the reasons we can get by with one desktop guy for 55 employees, and he only works four days a week because FileMaker works so well.”FileMaker has been budget-friendly in other ways, as well. “The efficiencies we created by just moving to a newer version and upgrading saved the eye bank tens of thousands of dollars in time and resources.”Cattell finds access just as important. “Employees can get to any data now – any information, anywhere, anytime, on iPhones, iPad devices or computers. It’s all right there at their fingertips. That’s more valuable than anything else.”He sees no need to look elsewhere for the capabilities and flexibility he has found in the FileMaker Platform. “Sometimes, someone will come to me and suggest another option, but then I show them what I’m doing in FileMaker and they say, “You might just want to stay where you’re at.’ The ease of use and low overhead are great. Everything in FileMaker is open to everything, in terms of APIs and integrations, and there’s nothing else that I know that does that.” Moving forwardAs an innovation platform, “FileMaker keeps pushing us forward,” Cattell says. His next project will involve using Tableau, a data visualization tool, and other sources to get a better view of the data and what it’s telling him.Cattell is also just learning how to use APIs and integrating with Google and AWS. His recent trip to DevCon, FileMaker’s annual user conference, equipped him with useful training and sample files showing how others have successfully completed integrations. He looks forward to applying what he has learned for the benefit of the eye bank.“FileMaker is just so powerful in our organization. Taking control of an uncontrollable situation.In 2015, Stephen “Steph” Courdin and his family were devastated to learn he had Amyotrophic lateral sclerosis (ALS) or Lou Gehrig’s Disease - a progressive neurodegenerative disease that slowly robs the body of its ability to walk, speak, swallow and breathe.The disease affects 30,000 people in the United States, and approximately 250,000 globally at any given time. Only 20 percent live past the 5-year anniversary of their diagnosis.A technologist by trade, Steph spent his free time after his diagnosis looking for a solution to the inefficiencies in the data gathering process for patient research. Steph and his family went on to develop a patient-centered outcomes research (PCOR) tool for ALS data collection and repository, which soon began the non-profit ALS Never Surrender Foundation. Heavy industrial electrical contractor increases safety awareness for over 435 team members with a technical iPad-based solution, including their innovative job safety analysis application.Safety firstJeff Coghlin, IT manager, explains how safety is central to Braun Electric. “We’re a long established company,” says Coghlin. “At the same time, we stay on the cutting edge through a fierce commitment to continuous improvement with the FileMaker Platform as a cornerstone. Our safety record is one of the things we’re most proud of, and that’s been improving even more through greater thoroughness and accessibility to information made possible by the FileMaker Platform.”To tackle on-the-job safety for over 435 people, Application Developer Jason Larson and Coghlin sat down with the Business Improvement Team to identify the most pressing issues. They decided that their first task was to digitalize the most critical, and among the most complex, business processes: Job Safety Analysis (JSA).Traditionally, the forms supporting the JSA were 100% paper-based. People in the field would fill out pre-job forms and associate standard operating (SOP) procedures from large binders into job procedures.The SOP maintenance process required printing and maintaining two three ring binders of information for each of over 300 vehicles in the company. If there was a change to an existing procedure, or a completely new process created, then a new sheet of paper had to be printed, laminated, and hole punched for every binder in the company and the old sheets collected. This would take two to three weeks to complete. Braun needed a more efficient way to distribute this information to its team members, ensuring they have the most up to date version of this critical information.Larson states, “We needed a digital form and mobile solution that would help team members by providing information immediately and prompting electricians to answer questions about underlying safety issues they may not have considered.” We're a long, established company. Which technology would provide the fastest development time and provide the multi-platform foundation for many other solutions that could automate and improve business processes?"Applications should be designed around people and processes instead of people having to change the way they work to utilize an application,” says Coghlin. "This is why we decided to build our own FileMaker application to fit our processes."CEO Ed Ott adds, “The need to share information was not solely for field personnel. Doing more with less from the front office perspective required a system that would feed back data and information in real time, thus sharing the response to risk activity with all officers and senior project managers simultaneously. FileMaker provided that flexibility and was a welcome change. Adding more managers for overseeing our at-risk workload was avoided. Making our current leadership staff more informed displaced the need to add the staff. Additionally, we were able to invest in the technology at reduced cost overall.”The solution needed to be extremely easy to use. Additionally, it had to work offline and then later sync updated data over cellular connections to the company’s back-end Windows-based servers, and integrate with other business systems including ERP and office productivity applications.Larson was convinced that the FileMaker Platform was the way to go. “Meeting all of our requirements would have been a tremendous undertaking if we were using traditional hand-coding methods,” says Larson. “FileMaker made it easy to create a ‘mobile-first’ solution, an important factor because most of our team members in the field never touch a computer but only use mobile devices. So we needed a mobile solution that would be easy to use but also integrate seamlessly with our back-end desktop and server systems.”Using the FileMaker Platform, the company created a Job Safety Analysis app that covers permits, number of times that safety personnel review the JSA, fall protection, site diagrams, sign-in pages, lift tickets, and more. The JSA solution also automated communication to the leadership team by sending alert notifications.The JSA tracker equips field leadership with on-site, digital and searchable information. For instance, project managers are presented with GPS location information, as well as data such as existing energy control forms, site diagrams, potential sources of hazardous conditions, and so on.Bottom line: Improved SafetySince adopting FileMaker and following best practices, the company’s safety record has become a model for the industry. The total injury rate is 0.24, compared to the overall industry, which rates 3.8. Braun’s Experience Modification Rate (EMR), a number used by insurance companies to gauge both past cost of injuries and future chances of risk, is 65% less than industry average.Automating multiple business processesBraun Electric’s ultimate goal is to automate roughly 30 other unique processes, each in a way that meets the company’s customized ways of doing business.Already the Braun IT team has built a number of innovative iPad solutions. One application combines FileMaker with the GoMaps plug-in from FileMaker Developer SeedCode to allow supervisors to see where crews are at any given time via Google Maps. Another solution from the Apple App Store delivers weather tracking so crews can stay informed of the predicted weather conditions, which allows them to plan their day accordingly. Through another application, workers now have instant access to an electronic version of the national electrical code (NEC) handbook. And even old paper timecards have finally gone electronic using a FileMaker application.Overall these mobile solutions have improved safety, increased efficiency and ensured better, more automated communication between field personnel and Braun headquarters. Says Ott, “Soon the archive and storage of literally millions of hard copy documents will be a thing of the past. Law and contracts require retention dating back 5 to 7 years. It will be a plus to have the space in our operation returned to us to be utilized for something other than the storage of this documentation. Accurate data retrieval will be easier as well.”Braun Electric intends to expand beyond internal processes by using the FileMaker WebDirect feature to deliver select reporting data directly to customers’ web browsers.Adds Larson, “In our industry, we don’t get big game-changers very often. The matchmaker? Claris FileMaker. Since 1987, Williams, a successful entrepreneur known for his merger and acquisition expertise, has incorporated Claris FileMaker as a key element of his company’s information technology (IT) operating systems. “Claris FileMaker has been a very useful business tool over many years, dating back to 1987. It’s an agile, low-code platform that’s user-friendly and scalable, enabling our business to grow in any direction required.” This coming from a businessman who thought he was easing his way into a well-earned retirement. That’s before honeybees changed his mind. “Honey was an entirely new and somewhat unexpected business venture,” says Williams. “We started with 3 hives, which then quickly grew to 15, and the whole venture started to go really well. What’s more, the honey tasted delicious. We were still a relatively small producer when, one day, we received a very large order. We had to scale up, and scale up fast.” British Honey discovers its secret weapon — low-code custom apps. The rapid need to scale led Williams to implement the Claris Platform to help automate key processes. Then, low code came to the rescue again when he decided to start a new endeavor: taking British Honey into the world of spirits. According to British Honey Director of Operations, Alex Maurice, “The Claris Platform can adjust and move to do what we need it to do, even if it’s a complete business pivot. We have a platform that keeps up with us, no matter how quickly we adjust our goals or needs. This was especially true when we decided to blend our honey — and all of our honey flavours — with gin.” The company’s new initiative resulted in a tsunami of new paperwork, tax issues, and legal accounting required of United Kingdom (UK) spirit manufacturers. “The paperwork alone for the manufacture of alcohol in the UK is enough to scare anyone out of the distillery business,” notes Maurice. However, with Claris FileMaker, the company managed the mountain of legal paperwork demanded of distilleries, at every stage of the manufacturing process. Williams credits the platform for allowing British Honey to scale quickly and meet the demands of spirit distributors across the UK and, now, internationally. With Claris FileMaker, British Honey continues to grow. British Honey takes Claris’ “low code without limits” philosophy to heart. “We stretch our apps to the extremes without compromising the business,” notes Williams. “Our whole company runs on Claris FileMaker with links to Zero, Shopify, and now Amazon and Ocado.” The company continues to solve its business challenges with FileMaker, such as managing HM Revenue & Customs (HMRC) bonded warehouse returns. “Each month, we can reconcile our Alcohol stock (£1.2 million of suspended duty) in just one day, utilizing iPad devices and FileMaker in the back office,” says Williams. “We also barcode our beehives and link to our databases for the Safe and Local Supplier Approval (SALSA) food standards here in the UK. We pride ourselves on being able to trace a product’s batch number in 3 minutes from the consumer outlet to all the constituent products.” In March 2020, Williams turned to FileMaker again when British Honey went public via an Initial Public Offering (IPO). Williams states, “We were required to undergo very stringent accounting scrutiny, and Claris FileMaker got us through that process with flying colours." Despite his youthful 77 years, Williams says he has no plans to slow down. “We’re now working together on international expansion, including into the United States and China. A Vinyl VisionaryFurnace Record Pressing was founded in 1996 and has grown to be known globally for its high-quality vinyl records and its customer-centric core values. It uses 14 new and refurbished record presses to meet the growing global demand from major record labels, direct bands, marketing departments, and more.Within the first six years of operation, Furnace founder and CEO Eric Astor said he saw a 30 to 50 percent growth in the demand for vinyl records, however, scaling up a vinyl LP format based on technology that hadn’t evolved in several decades was difficult and required Astor to wear another hat - workplace innovator.Innovation in a Retro WorldAfter previously having worked with Claris FileMaker, Astor had the idea to deploy its custom apps at Furnace to produce consistently good records with quality control and operational functions.“If you’re an audiophile, vinyl sounds better than digital,” said Astor. “No musical data is lost when pressing a record; it’s a high-fidelity listening experience.”In a traditional record pressing environment, machine operators would have to continuously monitor presses and take notes on the settings and adjust temperatures.“The machines didn’t capture all the data and all of the variables going in and out, such as the steam temperature dipping, the humidity, the vacuum, the cold water,” said Astor. “And a poorly mastered record can cause a turntable’s stylus to track poorly in the record’s grooves, causing unwanted distortion.”Using Claris FileMaker, Furnace Records with the help of FullCity Consulting created a custom app to view the data sent to the cloud. “When you press a record, you’re working in a very traditional environment and your actions are usually reactive,” said Astor. “With Claris FileMaker, we are able to incorporate new technology by adding information through IoT into our database. This allows us to see the data in real time, and any abnormalities that come up when we’re pressing the record.”Astor says his team can now see the data coming in on their iPads or iPhones which enables them to regulate problems in production, and use the data to recreate settings that gave great outcomes instead of recreating a pressing environment from scratch each time.Fast Turnaround TimeIn 2018, Furnace Records opened a 50,000 sq/ft state-of-the-art record pressing facility in Fairfax, Virginia - a space capable of pressing close to 10 million vinyl records a year.Astor said Claris FileMaker saves his team approximately 20 to 30 pressing cycles per day, per job and allows them to do a lot more and reduces stress.“Claris FileMaker makes pressing process more simplified and consistent,” said Astor. “There’s a quality control. Machine operators will get alerts telling them ‘you have to do this,’ see the visual representation of the problem or task, and it speeds up the defect resolution as well.” Furnace Records’ next project is to use Claris FileMaker to revamp its customer resource management as it continues to grow internationally. They purchased a water softener and were thrilled with the results – and inspiration struck. Since then, Harvey has been solving people’s hard water problems through his Surrey-based company, Harvey Water Softeners, selling compact, under-the-sink water softeners.As the company started to grow rapidly, Harvey realized their current way of operating was no longer going to work. That’s why Panoramic Images needed a custom app, built on the FileMaker Platform.For Panoramic Images, an Illinois-based specialty stock photo company, the FileMaker Platform has been an essential tool for adapting in an ever-changing industry.“It’s not about a static solution, it’s about something ever-evolving,” said co-founder Doug Segal.Segal has been a FileMaker user for more than two decades. It started when he was looking for a way to organize the thousands of photos that came across his desk, without having to use a PC.“We are ‘pry the Mac out of our cold, dead fingers’ kind of people here,” he said. And, now, he said, he couldn’t run his business without the custom app.“We came up with an idea for something we needed, and we created it… and now we can build almost anything we want,” he said of the app. Tools for a changing worldTwenty years ago, Panoramic Images used to sell most of its landscape, skyline and travel photos for print advertisements in magazines. The photos fetched a high price, too, about $700 each. But today, where so much advertising has moved online, the average license of an advertisement photo has nosedived down to around $50.That kind of price drop might have convinced someone else to change careers, but photography is in Segal’s blood (his co-founder brother, Mark, is a professional photographer, as was Ed, their father). So instead of closing, the company adapted. It still licenses photos for many uses including advertising, but now specializes in creating bespoke ultra hi-res files for its clients to print murals for large hallways and walls. For instance, one recent client asked for a sport-themed hallway mural of a baseball field. But, they wanted to use a long skinny panoramic image where the baseball diamond was at one end of the mural — so that the diamond part of the image would be the backdrop for the perpindicular wall at the end of the hall.Segal used his custom app to quickly comb through the company’s 300,000 images and to ping several photographers who might have an image with an offset baseball diamond. The next day, he got back to the client with several large format photo options to choose from.The company’s app doesn’t just allow Panoramic Images to manage an incredible volume of photos; it also accommodates many formats, sizes and even multiple iterations of the same photo. It can then send the photos to customers for review, download and purchase as well as keep track of all actions taken within a particular project. It also provides a place to label photos with details, metadata and keywords, and to ping or pay the photographer who took them. "We came up with an idea for something we needed, and we created it… and now we can build almost anything we want" Doug Segal, Co-founder, Panoramic Images Sometimes, the old ways work betterDigital photography has long since replaced film as the norm in both amateur and professional photography, and most agencies now only deal in digital photos. But when it comes to making gigantic images, Segal said, film can actually be a much better medium.Film photos, especially those taken by old cameras on very large transparencies and negatives, often look much crisper when they’re enlarged than digital ones do. To get the same clarity for large landscapes, digital photographers often take overlapping photos — perhaps eight or so images — to combine into one image that’s fit for a billboard or mural. Panoramic’s custom app helps Segal sort through all kinds of images: multi-shot, high resolution digital images and scans of film negatives that are labeled for easy retrieval from the office’s archive drawers.Panoramic Images is one of only two such stock photo companies in the country that still uses film photos (the other agency, Robertstock.com, also has a custom app built with the FileMaker Platform), and its custom app is a major reason why it’s been able to do so, Segal said. It’s also what will help them integrate more high-tech images into the company’s archives.The company already sells 360-degree, surround-style images and is working towards selling immersive virtual reality content — all of which will be sorted,stored,interacted and licensed through the FileMaker custom app. The business is already using the system on its Mac computers and currently has a beta version for FileMaker Go so employees can respond and work when they’re not at their desks. The custom app brings new life for analogBut as Panoramic Images speeds toward the future, the app is also allowing the company to take on a massive historical archive project, the Fred Schutz Historical Collection.The project started in the early 1970s. Segal was 12 years old, and his father took him to a garage where an elderly woman was selling dozens of piano roll boxes packed with large photo negatives. They were only one step ahead of a scrap photographic film silver recovery company who was going to “recycle” the giant negatives for their silver content. The 9,000 super large format images, which were taken with the Eastman Cirkut panoramic camera between 1910 and the mid 1960s, have been in his family ever since. The photos captured rare moments in American history in incredible detail, such as battlefields from the first American participation in WWI; Amelia Earhart posing with her plane at a Washington, D.C. airfield with the U.S. Capitol in the background, and all the way through John F. Kennedy’s presidential inauguration.One day each week, the staff at Panoramic Images works on scanning and archiving the Schutz Collection negatives. They hope to provide them to museums and collections that will preserve them for future generations, as well as sell prints to help finance the archiving of the remaining 7,500 negatives."A few of the photos are in the Library of Congress, but they’re scanned from faded antique prints,” Segal said. “And when these original negatives were passed down to me, I just felt a responsibility to preserve them. If they were lost, no one would ever know these moments happened.”To showcase the giant Washington-area photos at ten feet tall, Panoramic Images is partnering with the DCHistory Center at the Carnegie Library to create the museum’s inaugural exhibit, The Big Picture, in late 2018.It’s slow work, Segal said, as the negatives are massive — about 300 times the size of a normal 35 mm negative, weigh about a halfpound each, and measure 10 inches high x 36 – 50 inches long — part of the reason why the panoramic photos were affectionately termed “yardlongs” in their day. To tackle the project, Panoramic Images had to create an entirely new scanning and FileMaker workflow. The information stored there doesn’t only tell users about the photo negative; it also chronicles the condition it’s in and how it’s positioned in the architectural file cabinets (helpful information when 10 negatives can weigh five pounds).So far, the team has scanned 1,200 of the images on its Digital Transitions Phase One 100 Megapixel scanner and archived them at 1 - 4 GB each, something they wouldn’t have been able to tackle without the flexibility of the FileMaker Platform.“We would have never taken on this project without having all the experience we do with FileMaker,” Segal said. “It helped us conceive of a way to manage all the film, scans, data, as well as the distribution and marketing.”The company is always thinking about new ways to use its custom app built on the FileMaker Platform, Segal said, so much so that there’s a meeting every two weeks dedicated to talking about new app features.“All roads lead back to FileMaker,” Segal joked. With a population base of only about 55,000 people, the region keeps Roger Benedict and his flooring business, Ruggs Benedict, hopping. In business since 1972, the company has gone from operating out of a garage in a trailer park to become the leading flooring store in the region. And it’s taken Roger from carpet installer to business owner, running a dozen installation crews each day and poised for big growth. Whereas a normal floor covering store in a good market grosses about $2 million, Ruggs Benedict made $8 million last year and is on track to gross $10 million by the end of 2018. A view of the entire project lifecycleWhen Roger began running the company in 1988, he was using computer spreadsheets to keep track of the various aspects of the business. “Those work fine for one person for one thing at a time,” he said, “and that was their limitation.” He needed to be able to see sales activity, project status and installation schedules in real time.A friend of his was a local Apple support person, and he recommended using an early version of the FileMaker Platform to create a custom app that could streamline business workflows. Roger did not have any programming or coding experience, but he found FileMaker intuitive and easy to use. He used the platform’s tutorials and developer’s manual to learn what he needed to know. He also attended DevCon, FileMaker’s annual user conference, multiple times to gain additional insight and skills.Today, Roger uses the custom app for, in his words, “absolutely everything.” The app spans the entire project lifecycle, from initial customer contact all the way through to the finished job. For instance, he designed a button on each salesperson’s page that lights up when a job is marked off by the installation department. The salesperson then knows it’s time to make a “happy call” to ensure the customer is satisfied with their new flooring. Once that call has been made, another button pops up: “Send review request.” The salesperson clicks that button to request a customer review.Employees also make thorough use of the custom app’s email integration. With every new project that comes in, a salesperson creates a project card and a communication log is attached to it. This way, they can easily generate all kinds of emails. Whether it’s answering a question or sending a product picture or an estimate for a project, they can just click a button and the email ends up in the communication log. The salesperson can check the log to see what emails have been sent and where they're at in the project. And if that salesperson is out, anyone can look at the log and know exactly where the salesperson left off so that customer interactions flow smoothly.“A great thing about FileMaker is that you can make all these individual behavior paths and then tie them all together easily to make a sequence of events,” Roger said. So, they switched to the big screen. Staff now access the custom app at their workstations on Mac minis with 27-inch screens, where they can sit with customers once samples have been chosen.iPad devices are perfect for warehouse employees, though. It’s their job to check in all the material that comes in each day and check it out as it goes out. This enables them to keep track of what installation supplies need to be restocked, like adhesives and carpet cushions. They need to monitor the installation schedule as well, and a hand-held app makes all of this easy. Unexpected financial benefitsRuggs Benedict faces a unique billing challenge. Flooring orders tend to be pliable; a customer may decide to add a room or change a color up until the last minute. Advance billing isn’t possible, so the custom app holds the bill in a queue until the project is complete. Then the bill can be moved into QuickBooks, which integrates with the custom app. This cuts down errors and improves customer experience.That’s a handy feature, but Roger has discovered that the ability to control product pricing is the single biggest win of the custom app. In many businesses, salespeople can quote low prices because they want to get the deal – and the commission.“If you don't control that, they'll just give away the store,” Roger said.With the custom app, pricing is all push-button. Sales staff select a product and the app automatically fills in the appropriate price. Salespeople can offer some discounts, but they can watch their commission shrinking on the screen. This makes them much less willing to slash product prices, and that improves the bottom line.From tracking the customer lifecycle to streamlining email communications to improving profit margins, Roger just can’t speak highly enough of the custom app he built on the FileMaker Platform.“It is hard to explain just how easy FileMaker is. Salem Oregon Animal Rehabilitation (SOAR) provides rehabilitation for pets. Sarah Ostrin had worked at the local university as a rehabilitation technician and wanted to be able to offer better options for the pets in Salem. Julie Rowley, DVM wanted to be able to offer more than just pills for pain management. They found one another and their collaboration launched SOAR. Both are Certified Canine Rehabilitation Practitioners (CCRP) and their lean staff of technicians work closely with Dr Rowley’s husband, Mark, who runs the logistical side of the business. As they say in their business, “if it doesn’t have fur, it’s his problem.” The ChallengeWith a total of three staffers helping the animals and one person managing the technology and office processes, digital transformation isn’t a new way of thinking. It’s been the only way of thinking from the very beginning. With beloved pets coming in to be treated, mistakes can cost trust and effective treatment. Complete pet records mean better treatment and missed appointments can create a negative impact for both the pet and the rehabilitation center itself. Mainstream vet software didn’t work for their lean staff. The features they offered were either too overwhelming for the clinic’s needs, not flexible enough to adapt to their demands. Others were too cost prohibitive for the size of their facility. Although Mark was a chief operating officer of data centers in his former life, he had never programmed and didn’t plan to start now. He was able to build out a custom system that served most of the the rehabilitation center’s needs using Claris FileMaker thanks to its low-code environment and flexibility. Essentially, the game is like two-on-two volleyball, but instead of hitting the ball over a vertical net, players hit it onto a horizontal, mini trampoline-type net. Once the ball is served, there are no boundaries, so players can move 360 degrees around the net.This fast-paced, high-energy game boasts more than 4 million players worldwide.Several years ago, Spikeball caught the attention of Logan Cornelius, who started a Spikeball roundnet club at Texas A&M. He quickly became a top-selling ambassador for the company, eventually interning and then working full-time for them – a job that aligned well with his sports management major. The company’s 24 employees attend up to 15 trade shows and puts on more than 150 tournaments each year. Before Cornelius joined, one employee was managing events on a part-time basis and the process was chaotic. Cornelius wanted to bring order to the detailed process and explored a variety of software offerings, but none of it was agile and scalable enough.“I would manage the equipment in one program, but then I would have to go to Google Docs to manage events, and there really wasn’t a great way to do it all,” he said.The company was stuck in a work rut, grappling with a time-consuming process that took up valuable, limited resources. Cornelius knew there had to be a better way.One day, his boss forwarded him an email with information about a tool he thought could help solve their problem.“I investigated it and realized this had potential,” he said.The tool was FileMaker’s Workplace Innovation Platform.Cornelius dove right in and taught himself the basics of app design, spending a lot of time on the FileMaker community forums, downloading the guidebooks from the App Store, and “watching a lot of YouTube videos to try to understand the software better.” Then he started building out his custom app, transferring tasks performed in other software to see if he could do them better by way of the new platform. Logan Cornelius, Event Operations Manager, Spikeball Streamlining detailed processesToday, Cornelius uses his custom app to manage the details of every trade show the company attends. He’s able to quickly map out each event’s inventory and staffing needs.The app lets the Spikeball team manage checklists for travel bookings and information and a financial section that includes all of their expenses.“Now we can easily see how much we are spending on each show and track year-to-year how profitable a show is, whether we are spending more or less over time, and if we need to cut the show,” he said. “FileMaker has been huge in helping us achieve this clarity.”In addition to trade shows, Spikeball hosts physical education events and 30 tournaments a year, each composed of 50 to 150 teams. All these events require a tremendous amount of coordination and organization. Spikeball employees use the custom app to make a list of the equipment that will be needed: tents, flags, branded materials, merchandise to sell and to give away, tables and chairs. Cornelius then reviews and approves each list. The first is used to store, sort and find detailed data on hotels venues — something that planners use from the very first stages of a project. The app stores profiles on over 3,500 potential locations — from hotels to rooftop terraces. The profiles include the venue’s address, the number of rooms (if any), its amenities, fees, details about past events that were held there, internal rating information, photos and any other relevant information.Using helpful search functions on the app, the planners are able to quickly sort through the 3,500+ spots and identify which might be right for a specific client or type of program. It’s part of the way they harness big data to create a rich, personal experience.According to Riordan, the efficiencies that the apps provide are “immeasurable.” “(If we didn’t have an app) it would take us longer to respond to our clients, which could cost us future business,” Riordan said.
